Privacy Policy & Client Data Security
Effective Date: October 20, 2026
Brent Janss CPA PLLC ("we," "our," or "the Firm") is committed to safeguarding the confidentiality, integrity, and security of all personal and financial information provided by our clients and website visitors. As a licensed Certified Public Accounting firm, we adhere to strict ethical and statutory standards governing confidential client data.
1. Information We Collect
In the course of providing tax preparation, business accounting, financial modeling, and advisory services, we may collect nonpublic personal and financial information, including:
- Contact details (name, email address, phone number, mailing address).
- Tax identification numbers (Social Security Numbers, Employer Identification Numbers).
- Financial documentation (W-2s, 1099s, K-1s, bank statements, profit and loss statements, balance sheets, and prior year tax returns).
- Consultation intake forms and scheduling details.
- If you choose to connect a bank or credit card account (see Section 3): transactions, balances, credit card balance and payment details, and account statements for the accounts you select.
2. Use of Information & Non-Disclosure
We use your information exclusively to:
- Prepare and electronically file federal, state, and local tax returns.
- Deliver accounting, bookkeeping, and advisory deliverables.
- Communicate directly with you regarding filings, tax deadlines, and planning strategies.
We do not sell, rent, lease, or share nonpublic client information with third parties for commercial or marketing purposes.
We share information only with service providers that help us deliver our services, such as tax and accounting software, email, and the bank-connection provider described below, and only as needed for that work. We review each provider's security and confidentiality terms before we use it. Where federal law requires your written consent before your tax return information is disclosed, we obtain it first.
3. Connecting Bank and Credit Card Accounts
Some engagements are easier when we can see your account activity directly instead of waiting for statements. If you agree, we use Plaid Inc. to connect the bank and credit card accounts you choose. Connecting is optional, and you decide which accounts to share.
- You sign in to your bank through Plaid's own screen. We never see or store your bank username or password.
- We request only transactions, balances, credit card balance and payment details, and statements. We do not request your full account and routing numbers or your identity details through Plaid.
- We use this information only for the work described in your engagement letter.
- Plaid's handling of your information is described in the Plaid End User Privacy Policy, which Plaid shows you before you connect.
- You can disconnect an account at any time by contacting us, or through Plaid's consumer portal at my.plaid.com.
4. Protecting Client Information
Client information is confidential under Texas State Board of Public Accountancy (TSBPA) rules and federal law. We maintain a written information security program. Client data is stored on encrypted, firm-controlled devices and accounts, access is limited to Firm personnel who need it, and multi-factor authentication is required where our systems support it. Data moves between us and our service providers over encrypted connections.
If we learn that the confidentiality of your information has been compromised, we will notify you promptly in writing, as Texas rules require.
5. Keeping and Deleting Information
We keep client information for as long as your engagement requires and for the record-retention periods that professional rules and law require of a CPA firm. After that, we securely delete it. When a bank connection is no longer needed for your engagement, we remove it and delete the access Plaid gave us.
You may ask us what information we hold about you, ask us to correct it, or ask us to delete it. Email us at the address below. We respond within 30 days. If we must keep something to meet a legal or professional record-keeping requirement, we will tell you what and why.
6. IRS Circular 230 Disclosure
Any tax advice contained on this website or in general communications is not intended or written to be used, and cannot be used, for the purpose of avoiding tax penalties that may be imposed under the Internal Revenue Code.
